Create an account, sign in or reset a password
Use the sign-in panel on the WorkSync homepage. Choose the role that matches your account.
- 1Already have an account? Select Employee, Employer or Admin, enter your email and password, then choose Sign in. WorkSync opens the dashboard for your account.
- 2New employee or employer? Choose your role, then Register now. Enter your name, email, password and optional phone number. Employers must also enter a business name; the address is optional. Choose Create Account.
- 3Admin access is managed by an existing administrator. Do not use registration to request an admin account.
- 4Forgot your password? Choose Forgot password?, enter the email on your account, then Send reset link. Check your inbox and junk folder.
- 5Open the email link within one hour, enter and confirm a new password of at least eight characters, then save it. The link can only be used once; sign in again with your new password.
- 6When you finish using a shared device, choose Sign Out from the application menu.
A reset request shows the same message whether or not the email matches an account. If no email arrives, check the address and ask your employer or administrator for help.
01 · Employee
From connection to submitted hours
Link to an employer first. Then record your shift and review the current period before you submit it.
Find and link to an employer
An approved link is needed before you can clock in for an employer or submit a timesheet for them.
- 1Open Find Employer from the employee menu.
- 2Search for the business by name and choose Request to Join. Add a short message if useful, then choose Send Request.
- 3Wait for the employer to review and approve the request. A pending request is not an active link.
- 4When approved, choose that employer on your dashboard when you start a shift.
Record a shift and breaks
Use your Dashboard during the working day to create a time entry.
- 1If you are linked to more than one employer, select the employer for this shift.
- 2Choose Clock In at the start of work.
- 3When taking a break, choose Take Break. When you return, choose End Break.
- 4At the end of the shift, choose Clock Out. The recorded total subtracts your break minutes.
Location may be captured when you clock in if your device provides it. Do not assume a GPS requirement is enforced.
Check and submit this period
My Timesheets groups current entries separately for each approved employer. The employer’s setting determines whether the current period is a Monday–Sunday week or a calendar month.
- 1Open My Timesheets and find the Current Week or Current Month section for the relevant employer.
- 2Check every completed entry, including the clock-in, clock-out and break duration.
- 3If an entry is wrong, edit it before submitting: choose its pencil icon, update the fields and press Save Changes.
- 4When the current period’s completed entries are correct, choose Submit to [employer name]. Submission is manual.
- 5Check Submitted Timesheets for its status after the employer reviews it.
Previous Entries may be visible for reference, but submission is for the current employer-specific period. Editing an entry after submission does not recalculate the submitted total. Contact your employer or an administrator about an already-submitted correction.
Find work and use messages
The employee menu also includes Find Work and Messages.
- 1Find Work lists active job postings from employers you are linked with; review the posting details and use Apply to send an application.
- 2Messages provides a place to contact a linked employer and read your conversations.
- 3For timesheet corrections, contact the employer or an administrator rather than submitting the same period again.
02 · Employer
Connect your team and review time
Approve employee link requests, check submitted periods and decide whether each timesheet is approved or rejected.
Approve employee link requests
Employees initiate the connection from Find Employer. Review each request before the employee begins recording time for your business.
- 1Open Employees from the employer menu.
- 2Review requests marked Pending and confirm you recognise the employee.
- 3Use Approve or Reject for the request. When approving, manage the employee’s hourly rate on the Employees page.
- 4Approved employees can select your business on their Dashboard and submit timesheets for your review.
Review and decide on timesheets
Submitted timesheets appear under Timesheets with employee, period, total and status.
- 1Open Timesheets and use the search or filters to locate a submission.
- 2Review the employee, period and hours carefully against your own records.
- 3For a pending timesheet, choose the check action to approve or the X action to reject.
- 4Configured email notifications inform the employee of the decision. If you configured a bookkeeper contact, approval can send them a copy of the timesheet as a handoff.
WorkSync does not run payroll. The bookkeeper email is a handoff for the recipient’s own payroll process. If a timesheet needs a correction, contact the employee or an administrator; do not ask them to resubmit the same period, because duplicate submissions are blocked.
Set your company period and bookkeeper
Company Settings determines how current employee periods are grouped and where an approved timesheet copy can be sent.
- 1Open Company Settings.
- 2Under Timesheet Period, choose Weekly — Monday to Sunday or Monthly — 1st to last day of month.
- 3Under Bookkeeper / Payroll Contact, enter the recipient’s name and email if you want an approval copy sent there.
- 4Choose Save Changes to save the settings.
Post a job
Employers can publish job postings for employees linked to their business to find and apply for.
- 1Choose Post Job in the menu.
- 2Complete the available posting details, including title, description, date, start and end times, hourly rate and urgency.
- 3Choose Post Job. Linked employees can find the posting in Find Work and submit an application.
- 4There is not currently an employer-side application review panel in WorkSync.
Messages
Use Messages to communicate with employees in your WorkSync conversations.
- 1Open Messages from the employer menu.
- 2Choose an employee conversation and send your message.
- 3For a rejected timesheet, explain which details need attention; the employee should contact you or an administrator about any submitted-period correction.
03 · Administrator
System-level tools
Admin pages help manage accounts and inspect system-wide timesheets. Some visible settings are preferences only, not active controls.
Manage the system
The admin menu provides system-wide account and timesheet views.
- 1System Overview opens the admin dashboard.
- 2Manage Users and Manage Employers provide the respective account lists and management tools.
- 3All Timesheets gives an administrator a system-wide timesheet view.
- 4Audit Logs currently contains sample data; it is not a complete live audit trail.
System Settings
System Settings lets an administrator edit and save preference values.
- 1Open System Settings and review the Security, Time Tracking and Notification sections.
- 2Edit the values as needed and choose Save Settings.
- 3Treat these as saved preferences only: global switches for email verification, two-factor authentication, GPS, automatic timesheet submission and notifications are not enforced by the application.
Do not rely on these settings to require 2FA, verify an email, enforce location or automatically submit timesheets.
Quick answers
FAQ & troubleshooting
I cannot clock in. What should I check?+
Open Find Employer and check whether your request is approved. A pending request must be approved by the employer. If you have several approved employers, select the right one on your Dashboard.
I made a mistake in an entry. Can I fix it?+
Correct completed entries in My Timesheets before submitting the current period. An edit after submission does not recalculate its submitted total. Contact your employer or an administrator about an already-submitted correction.
My timesheet was rejected. Should I submit that period again?+
No. A second submission for the same period is blocked. Contact your employer or an administrator to agree how a correction should be handled.
Does WorkSync automatically submit timesheets or process payroll?+
No. Employees submit the current period manually. An approved timesheet may be emailed to a configured bookkeeper as a handoff; payroll is handled outside WorkSync.
I requested a password reset. How long is the link valid?+
The email link expires after one hour and is single-use. If it has expired or already been used, return to sign in and request another reset link.
Are every setting and Audit Logs entry live controls?+
No. System Settings saves preference values but global security, time-tracking and notification switches are not enforced. Audit Logs currently displays sample data, not a complete live audit trail.
Still stuck? Contact your employer or administrator for help with an account, a submitted correction or a timesheet decision.
